Society Circle Refund Policy

Part I — Introduction

Society Circle exists to help people build extraordinary lives through meaningful relationships and memorable shared Experiences.

Every membership, reservation, ticket purchase, and Experience represents more than a financial transaction—it represents a commitment between Members, Hosts, Community Partners, and Society Circle.

This Refund Policy is designed to balance three important principles:

  • fairness to Members;
  • sustainability for Hosts and Community Partners; and
  • the long-term health of the Society Circle community.

Because many Experiences require advance planning, venue reservations, food purchases, staffing, and financial commitments before an event takes place, not every purchase can be refunded under every circumstance.

This Policy explains when refunds, Society Circle Credits, exchanges, and cancellations are available.


1. Purpose

The purpose of this Refund Policy is to establish clear, transparent, and consistent expectations regarding refunds, cancellations, credits, and payment adjustments relating to:

  • Society Circle Memberships;
  • Experience registrations;
  • paid Experiences;
  • Community Partner Experiences;
  • subscriptions;
  • promotional pricing;
  • and other purchases made through the Society Circle platform.

A clearly defined refund policy helps Members make informed decisions while allowing Society Circle, Hosts, and Community Partners to confidently plan Experiences that strengthen the community.


Building Trust

Trust grows when expectations are clear.

This Policy exists to ensure that Members understand:

  • when payments are refundable;
  • when Society Circle Credits may be issued;
  • how cancellations are handled;
  • and how exceptional situations are addressed.

Society Circle is committed to administering this Policy fairly, consistently, and in good faith.


2. Scope

This Refund Policy applies to purchases made through Society Circle, including, where applicable:

  • Membership subscriptions;
  • annual Memberships;
  • monthly Memberships;
  • Experience tickets;
  • Signature Experiences;
  • Community Partner Experiences;
  • workshops;
  • retreats;
  • conferences;
  • classes;
  • paid Gatherings;
  • merchandise sold directly by Society Circle;
  • and other eligible purchases identified on the platform.

Certain Experiences may include additional refund terms that are displayed before purchase.

Where an Experience includes specific refund conditions, those conditions supplement this Policy.

If a conflict exists, the Experience-specific policy governs that particular purchase.


Third-Party Services

Some Experiences include products or services provided by independent third parties.

Examples include:

  • hotels;
  • airlines;
  • restaurants;
  • entertainment providers;
  • transportation companies;
  • activity operators;
  • and Community Partners.

Those providers may maintain their own cancellation or refund policies.

Society Circle will communicate applicable third-party policies whenever reasonably practical, but cannot modify policies established by independent providers.


3. Guiding Principles

Society Circle believes refund decisions should reflect both fairness and stewardship.

Every Experience affects more than one person.

When a Member reserves a seat, Society Circle and Community Partners often begin making financial commitments immediately.

For this reason, our refund philosophy seeks to balance the interests of:

  • Members;
  • Hosts;
  • Community Partners;
  • vendors;
  • volunteers;
  • and the broader community.

Principle 1 — Clarity

Members should understand refund expectations before making a purchase.

Whenever possible, refund terms will be presented before payment is completed.


Principle 2 — Fairness

Society Circle seeks to treat every Member fairly while recognizing that refunds may also affect Hosts, Community Partners, and other Members.

Policies are applied consistently whenever reasonably possible.


Principle 3 — Sustainability

Community Experiences require planning, staffing, venue reservations, supplies, food preparation, technology, payment processing, and administrative support.

Refund decisions should allow Society Circle and Community Partners to continue providing high-quality Experiences for the entire community.


Principle 4 — Good Faith

Unexpected situations occur.

Medical emergencies, severe weather, family crises, technical issues, and other extraordinary circumstances sometimes require flexibility.

Where appropriate, Society Circle may exercise reasonable discretion to provide:

  • Society Circle Credits;
  • partial refunds;
  • transfers;
  • or other accommodations consistent with this Policy.

Principle 5 — Community First

Whenever practical, Society Circle prefers solutions that keep Members connected to future Experiences.

Accordingly, when a Member cancels within an eligible refund period, Society Circle Credits may be offered as the default remedy instead of cash refunds, unless:

  • applicable law requires otherwise;
  • the applicable Experience expressly provides cash refunds; or
  • Society Circle determines that another resolution is more appropriate.

This approach allows Members to remain engaged in the community while helping preserve the financial sustainability of Experiences.


Definitions

For purposes of this Policy:

"Refund" means a return of eligible funds to the original payment method or another payment method authorized by Society Circle.

"Society Circle Credit" means non-cash account credit that may be applied toward eligible future purchases made through the Society Circle platform, subject to any stated expiration dates or limitations.

"Experience" means any gathering, event, activity, reservation, class, workshop, retreat, or other offering available through Society Circle.

"Community Partner" means an independent business or organization that hosts, facilitates, or provides Experiences through the Society Circle platform.


Part II — Membership Fees

Membership is the foundation of Society Circle.

Membership dues support the technology, hospitality systems, community infrastructure, leadership development, customer support, and operational resources required to build thriving communities.

Unlike individual Experience purchases, Membership provides ongoing access to the Society Circle platform and benefits throughout the active subscription period.

For that reason, Membership fees are generally treated differently from Experience ticket purchases.


4. Monthly Memberships

Monthly Memberships are recurring subscriptions billed each month until canceled.

Your Membership remains active until the end of your current billing period.

Unless otherwise required by applicable law, monthly Membership fees are generally non-refundable once a billing cycle has begun.

This policy reflects that Membership benefits become immediately available upon renewal, including continued access to the Society Circle platform, member features, community resources, and eligible Experiences.


Automatic Renewal

Monthly Memberships automatically renew on each recurring billing date using your selected payment method.

By purchasing a monthly Membership, you authorize Society Circle to charge the applicable recurring Membership fee until your Membership is canceled.

Members are responsible for maintaining accurate payment information.


Failed Payments

If a recurring payment cannot be successfully processed, Society Circle may:

  • retry the payment;
  • notify you of the failed transaction;
  • temporarily restrict Membership benefits;
  • suspend access to certain Services;
  • or cancel Membership after reasonable collection attempts.

Society Circle may also update payment methods where supported by payment network account updater services.


5. Annual Memberships

Annual Memberships provide twelve months of Membership benefits in exchange for a discounted annual payment.

Because annual Memberships receive discounted pricing in exchange for a longer commitment, annual Membership fees are generally non-refundable after purchase, except:

  • where required by applicable law;
  • where expressly stated in a promotional offer;
  • or where Society Circle determines, in its sole reasonable discretion, that extraordinary circumstances justify an exception.

Membership Value

Annual Membership benefits begin immediately upon purchase.

These benefits may include:

  • access to Society Circle communities;
  • Member-only Experiences;
  • platform features;
  • digital resources;
  • community communications;
  • leadership opportunities;
  • and other Membership privileges.

Because these benefits begin immediately, unused Membership time generally does not create a right to a prorated refund.


Renewal Notice

Where required by applicable law, Society Circle will provide renewal notices for automatically renewing annual Memberships.

Members remain responsible for canceling automatic renewal before the renewal date if they do not wish to continue their Membership.


6. Membership Cancellation

Members may cancel automatic renewal of their Membership at any time through the Society Circle platform or other designated cancellation methods.

Cancellation prevents future renewal charges.

Cancellation does not immediately terminate Membership.

Instead, Membership remains active through the end of the current paid billing period.

No additional Membership fees will be charged unless the Membership is later renewed.


No Early-Termination Refunds

Except where required by applicable law or expressly stated otherwise, canceling a Membership before the end of the billing period does not entitle the Member to:

  • a prorated refund;
  • reimbursement for unused time;
  • reimbursement for unused Member benefits;
  • or reimbursement for Experiences not attended.

Members retain access to Membership benefits until the current subscription period expires.


Rejoining Society Circle

Former Members are always welcome to return.

If a Membership has expired or been canceled, reactivation may be subject to:

  • then-current pricing;
  • current Membership terms;
  • availability in the Member's Home Community;
  • and any applicable eligibility requirements.

Certain legacy pricing, promotional pricing, or Founding Member benefits may not be restored if eligibility has been lost under applicable Membership rules.


7. Promotional Pricing

Society Circle may periodically offer promotional pricing, introductory offers, referral incentives, scholarships, seasonal discounts, or other special Membership opportunities.

Unless expressly stated otherwise:

  • promotional offers cannot be combined;
  • promotional pricing has no cash value;
  • promotions cannot be transferred;
  • promotions cannot be exchanged;
  • and promotional discounts apply only for the stated promotional period.

If a Membership purchased under promotional pricing is canceled, future re-enrollment may occur at the standard Membership price then in effect.


Promotional Errors

Society Circle reserves the right to correct pricing errors, typographical mistakes, or technical issues affecting promotional offers.

If an obvious pricing error occurs, Society Circle may cancel the affected transaction and provide the Member with an opportunity to complete the purchase at the correct price.


8. Founding Member Pricing

Founding Member pricing represents a permanent recognition of Members who joined during the launch of their Home Community.

Eligible Founding Members receive the pricing and benefits expressly described in the Founding Member program applicable to their Home Community.

Subject to continued compliance with Society Circle policies, Founding Member pricing is intended to remain in effect for as long as the Member maintains continuous eligible Membership.


Maintaining Founding Member Status

To preserve Founding Member pricing, Members must generally:

  • maintain continuous Membership;
  • remain in good standing;
  • comply with Society Circle policies;
  • and satisfy any additional requirements communicated as part of the Founding Member program.

If a Founding Member allows their Membership to lapse, voluntarily cancels Membership, or otherwise loses eligibility under the applicable Founding Member terms, permanent Founding Member pricing may be forfeited.

Unless expressly stated otherwise by Society Circle, forfeited Founding Member pricing cannot be reinstated.


Why Founding Member Pricing Matters

Founding Members help establish the culture, relationships, and traditions that shape every Society Circle community.

Permanent Founding Member pricing is intended to recognize that early commitment and preserve the special relationship between Society Circle and those who helped build the community from its beginning.


Part III — Experience Tickets

Experience reservations are different from Membership subscriptions.

When a Member reserves a place at an Experience, Society Circle, Hosts, Community Partners, and vendors often begin making financial and operational commitments immediately.

These commitments may include:

  • reserving venue capacity;
  • purchasing food and beverages;
  • staffing;
  • securing entertainment;
  • preparing materials;
  • paying deposits;
  • coordinating volunteers;
  • and limiting availability for other Members.

Accordingly, Experience refund policies are designed to balance flexibility for Members with fairness to everyone involved in delivering the Experience.


9. Free Experiences

Many Society Circle Experiences are offered without an additional ticket price as a Membership benefit.

Although these Experiences are free to attend, they often involve meaningful planning and operational costs.

Members who reserve a place at a free Experience are expected to honor their reservation whenever reasonably possible.


Reservation Commitment

If you are unable to attend a free Experience, you should cancel your reservation as soon as reasonably possible through the Society Circle platform.

Early cancellations allow:

  • waitlisted Members to attend;
  • Hosts to plan accurately;
  • Community Partners to prepare appropriately;
  • and Society Circle to provide a better Experience for everyone.

Repeated no-shows may affect future reservation privileges, even when no ticket price was charged.


Courtesy Matters

A reserved seat has value.

Even when no payment is required, failing to attend without canceling may prevent another Member from participating.

Society Circle encourages Members to treat every reservation with the same level of commitment they would give a paid event.


10. Paid Experiences

Certain Experiences require the purchase of tickets or registration fees.

Examples include:

  • Signature Experiences;
  • workshops;
  • classes;
  • retreats;
  • conferences;
  • premium Gatherings;
  • Community Partner Experiences;
  • and other paid events.

The applicable purchase price and cancellation deadline will generally be displayed before payment is completed.

Unless otherwise stated, the refund provisions contained in this Policy govern those purchases.


Reservation Confirmation

A reservation is generally considered confirmed once:

  • payment has been successfully processed; and
  • confirmation has been issued through the Society Circle platform.

Members are responsible for reviewing the Experience details before completing their purchase.


11. Cancellation by Member

Members may cancel an Experience reservation through the Society Circle platform, subject to the cancellation deadlines applicable to that Experience.

Unless otherwise stated for a particular Experience:

Before the Published Cancellation Deadline

If a Member cancels before the published cancellation deadline, Society Circle will generally issue a Society Circle Credit equal to the eligible refundable amount.

At Society Circle's discretion, or where required by applicable law, a refund to the original payment method may instead be provided.


After the Cancellation Deadline

Once the published cancellation deadline has passed, refunds and credits are generally unavailable because planning, purchasing, staffing, and venue commitments have already been made.

Exceptions may be considered only under the Special Circumstances described later in this Policy.


No-Shows

Members who do not attend a paid Experience and who did not cancel before the applicable deadline are generally not eligible for:

  • refunds;
  • Society Circle Credits;
  • transfers;
  • or reimbursement.

Repeated no-shows may also affect future reservation privileges.


12. Cancellation by Society Circle

Occasionally Society Circle may need to cancel, postpone, relocate, or substantially modify an Experience.

Reasons may include:

  • severe weather;
  • low attendance;
  • venue issues;
  • safety concerns;
  • instructor illness;
  • operational challenges;
  • emergencies;
  • or circumstances beyond Society Circle's reasonable control.

When Society Circle cancels an Experience before it begins, affected Members will generally be offered one or more of the following:

  • a full refund to the original payment method;
  • a Society Circle Credit;
  • transfer to a future Experience;
  • or another reasonable accommodation.

Whenever practical, Members may choose between an eligible refund and Society Circle Credit.


Schedule Changes

Minor adjustments to:

  • start times;
  • end times;
  • speakers;
  • Hosts;
  • venues within the same general area;
  • menus;
  • activities;
  • or similar operational details

do not necessarily constitute cancellation and may not create refund eligibility.

Society Circle will communicate significant changes whenever reasonably practical.


13. Cancellation by Community Partner

Some Experiences are hosted or facilitated by independent Community Partners.

If a Community Partner cancels an Experience, Society Circle will work in good faith with the Partner to determine the most appropriate resolution.

Depending on the circumstances, Members may receive:

  • a full refund;
  • Society Circle Credit;
  • transfer to a replacement Experience;
  • rescheduled attendance;
  • or another reasonable accommodation.

Society Circle remains committed to advocating for fair outcomes while respecting agreements with independent Community Partners.


Independent Provider Limitations

Certain Community Partners or third-party providers maintain their own cancellation policies.

Where those policies apply, they will be disclosed whenever reasonably practical before purchase.

Society Circle cannot guarantee outcomes that are controlled exclusively by independent third-party providers.


14. Waitlists & Released Tickets

Many Experiences have limited capacity.

When an Experience reaches capacity, Society Circle may operate a waitlist.

If a Member cancels before the applicable deadline, the released reservation may be offered to another Member on the waitlist.


Released Reservations

Once a canceled reservation has been released to another Member:

  • the original reservation cannot be guaranteed to be restored;
  • seating preferences may change;
  • and re-registration is subject to availability.

Members are encouraged to cancel promptly whenever attendance is uncertain.


Fair Access

Waitlists exist to maximize participation across the community.

Members should avoid reserving Experiences they do not reasonably expect to attend.

Repeated patterns of:

  • speculative reservations;
  • excessive cancellations;
  • late cancellations;
  • or repeated no-shows

may result in temporary reservation restrictions designed to preserve fair access for all Members.


Building a Reliable Community

Society Circle Experiences depend upon trust.

Reliable attendance helps Hosts prepare, Community Partners plan, and Members build meaningful relationships.

When Members honor their reservations—or promptly release them when plans change—they strengthen the entire community.


Part IV — Refund Methods

Society Circle is committed to processing eligible refunds and credits accurately, securely, and as promptly as reasonably possible.

The method by which a refund is provided depends on:

  • the reason for the refund;
  • the timing of the cancellation;
  • the applicable Experience;
  • the original payment method;
  • applicable law;
  • and this Refund Policy.

Whenever practical, Society Circle seeks to resolve refund requests in a manner that is fair to Members while supporting the long-term sustainability of the community.


15. Original Payment Method

When a purchase qualifies for a monetary refund under this Policy, Society Circle will generally issue the refund to the original payment method used for the purchase.

Where the original payment method is no longer available, Society Circle may request additional information to verify ownership before issuing an alternative refund.

Society Circle reserves the right to decline requests to redirect refunds to unrelated payment methods in order to reduce fraud and protect Members.


Eligible Refunds

Refunds to the original payment method are generally available when:

  • Society Circle cancels an eligible paid Experience;
  • duplicate charges occur;
  • an unauthorized transaction is verified;
  • applicable law requires a refund;
  • or Society Circle otherwise determines that a monetary refund is appropriate.

Unless expressly stated otherwise, Member-initiated cancellations that qualify for relief will generally receive Society Circle Credit rather than a cash refund.


Payment Processing Providers

Refunds are processed through Society Circle's payment processors.

After Society Circle initiates a refund, the timing of funds appearing in your account depends on:

  • your financial institution;
  • your card issuer;
  • your bank;
  • or your payment provider.

Society Circle cannot control processing times once a refund has been transmitted to the applicable payment network.


16. Society Circle Credits

Society Circle Credits are account-based credits that may be applied toward eligible future purchases made through the Society Circle platform.

Credits help Members remain engaged in the community while allowing Experiences to remain financially sustainable.

Whenever appropriate under this Policy, Society Circle may issue Credits instead of cash refunds.


Using Credits

Unless otherwise stated, Society Circle Credits may generally be applied toward eligible purchases including:

  • paid Experiences;
  • Signature Experiences;
  • workshops;
  • classes;
  • Community Partner Experiences;
  • and other qualifying purchases available through the platform.

Certain purchases, promotional offers, taxes, fees, or third-party services may be excluded from credit eligibility.


Credit Expiration

Unless otherwise stated at the time of issuance or where prohibited by applicable law, Society Circle Credits generally expire twelve (12) months after issuance.

Any applicable expiration date will be displayed within the Member's Society Circle account whenever reasonably practical.


Non-Transferability

Unless expressly authorized by Society Circle:

  • Credits have no cash value;
  • Credits may not be sold;
  • Credits may not be transferred;
  • Credits may not be exchanged for cash;
  • and Credits may not be assigned to another Member.

Society Circle may revoke Credits obtained through fraud, abuse, or misuse.


17. Processing Times

Society Circle strives to review and process eligible refund requests promptly.

Most eligible refund requests are expected to be processed within a reasonable period after approval.

Actual processing times may vary depending upon:

  • payment processor requirements;
  • banking systems;
  • weekends;
  • holidays;
  • fraud prevention reviews;
  • and other operational factors.

Refund Status

Members may be able to monitor the status of eligible refunds through their Society Circle account where such functionality is available.

If additional verification is required before processing a refund, Society Circle may request supporting documentation.

Providing requested information promptly helps avoid unnecessary delays.


Verification

To protect Members and reduce fraudulent activity, Society Circle may require verification before issuing:

  • refunds;
  • Credits;
  • payment adjustments;
  • or other financial accommodations.

Verification measures may include confirming:

  • account ownership;
  • payment details;
  • identity;
  • transaction history;
  • or eligibility under this Policy.

18. Partial Refunds

Certain Experiences include expenses that become non-refundable before the Experience occurs.

Examples may include:

  • prepaid meals;
  • venue deposits;
  • admission tickets;
  • instructor fees;
  • reserved equipment;
  • transportation reservations;
  • accommodations;
  • or third-party booking costs.

When only a portion of the purchase price remains recoverable, Society Circle may issue a partial refund or partial Society Circle Credit reflecting the refundable amount.


Fees That May Be Non-Refundable

Unless prohibited by applicable law or expressly stated otherwise, certain charges may remain non-refundable, including:

  • payment processing fees already incurred;
  • taxes or government-imposed fees where non-refundable;
  • third-party booking charges;
  • non-recoverable venue deposits;
  • and other expenses that Society Circle or a Community Partner cannot reasonably recover.

Any applicable non-refundable components will be communicated whenever reasonably practical before purchase.


Fair Financial Stewardship

Society Circle believes refund decisions should not unfairly shift costs onto Hosts, Community Partners, or other Members.

At the same time, Members should receive prompt and transparent treatment whenever they are entitled to a refund, credit, or other accommodation.

By balancing fairness with financial stewardship, Society Circle seeks to preserve a healthy Experience Economy that benefits the entire community.


Part V — Special Circumstances

Society Circle recognizes that unexpected events sometimes prevent Members or Community Partners from fulfilling their plans.

While refund policies are intended to provide consistency, extraordinary circumstances occasionally require flexibility.

This Part explains how Society Circle addresses uncommon situations while balancing fairness to Members, Hosts, Community Partners, and the broader community.

Nothing in this Part guarantees a refund where one would not otherwise be available, except where required by applicable law.


19. Medical Emergencies

Society Circle understands that sudden illness, injury, hospitalization, or other serious medical emergencies may prevent a Member from attending an Experience.

When a documented medical emergency prevents participation, Society Circle may, in its reasonable discretion, provide:

  • a Society Circle Credit;
  • a partial refund;
  • a full refund;
  • transfer to a future Experience;
  • or another reasonable accommodation.

Each request is evaluated individually based upon the circumstances and the operational commitments already made for the Experience.


Supporting Documentation

To protect the integrity of this Policy, Society Circle may request reasonable documentation supporting a medical emergency.

Examples may include:

  • a physician's note;
  • hospital discharge documentation;
  • confirmation of emergency treatment;
  • or other reasonable evidence.

Society Circle will make reasonable efforts to handle medical information respectfully and consistently with its Privacy Policy.


Family Emergencies

Society Circle may also consider accommodations for significant family emergencies, including:

  • death of an immediate family member;
  • serious illness of an immediate family member;
  • caregiving emergencies;
  • or comparable extraordinary circumstances.

Approval remains subject to Society Circle's reasonable discretion and the circumstances of the particular Experience.


20. Severe Weather

Safety always comes before an Experience.

If severe weather creates unsafe conditions, Society Circle, the Host, or the applicable Community Partner may:

  • postpone the Experience;
  • relocate the Experience;
  • shorten the Experience;
  • modify activities;
  • or cancel the Experience.

Examples include:

  • hurricanes;
  • tornadoes;
  • flooding;
  • snowstorms;
  • ice storms;
  • wildfires;
  • excessive heat;
  • dangerous air quality;
  • or other hazardous weather conditions.

Weather Decisions

Weather-related decisions are made using reasonable judgment based upon:

  • public safety guidance;
  • venue conditions;
  • travel conditions;
  • local emergency recommendations;
  • and the ability to conduct the Experience safely.

A Member's personal preference not to travel due to weather does not automatically create refund eligibility if the Experience proceeds as scheduled.


Weather Cancellations

If Society Circle cancels an Experience because of severe weather, affected Members will generally receive:

  • a full refund;
  • a Society Circle Credit;
  • transfer to a rescheduled Experience;
  • or another reasonable accommodation.

Whenever practical, Members may choose between available options.


21. Force Majeure

Society Circle is not responsible for delays, interruptions, cancellations, or failures to perform resulting from events beyond its reasonable control.

Examples include:

  • natural disasters;
  • acts of God;
  • public health emergencies;
  • epidemics;
  • pandemics;
  • governmental actions;
  • civil unrest;
  • terrorism;
  • labor disputes;
  • utility failures;
  • internet outages;
  • cyberattacks;
  • transportation disruptions;
  • venue closures;
  • or other extraordinary circumstances beyond Society Circle's reasonable control.

Fair Resolution

Although Force Majeure events may make refunds impractical or impossible in certain circumstances, Society Circle will make reasonable good-faith efforts to provide fair accommodations whenever feasible.

Such accommodations may include:

  • rescheduling;
  • Society Circle Credits;
  • substitute Experiences;
  • partial refunds;
  • or other reasonable alternatives.

The specific resolution depends upon the nature of the event and the recoverability of expenses already incurred.


22. Duplicate Charges

If a Member believes they were charged more than once for the same transaction, they should notify Society Circle as soon as reasonably possible.

Society Circle will investigate duplicate payment claims in good faith.

If a duplicate charge is confirmed, Society Circle will generally:

  • reverse the duplicate transaction;
  • refund the duplicate payment;
  • or otherwise correct the billing error promptly.

Billing Errors

Members should review transaction confirmations and account statements promptly after making purchases.

Reporting billing errors early helps Society Circle investigate and resolve issues more efficiently.


23. Fraudulent Transactions

Society Circle takes payment security seriously.

If a Member believes an unauthorized purchase was made using their Society Circle account or payment method, they should immediately:

  • contact Society Circle;
  • notify their financial institution where appropriate;
  • update account credentials if necessary;
  • and cooperate with any reasonable fraud investigation.

Society Circle may temporarily suspend affected transactions or accounts while investigating suspected fraud.


Fraud Prevention

To protect Members and the Society Circle community, Society Circle reserves the right to:

  • delay refunds while investigating suspicious activity;
  • require additional identity verification;
  • refuse refunds obtained through fraud or deception;
  • cancel fraudulent transactions;
  • suspend accounts involved in fraudulent activity;
  • or refer suspected criminal activity to appropriate authorities where permitted by law.

These measures help protect all Members from financial abuse and unauthorized account activity.


Compassion with Accountability

Society Circle believes exceptional situations should be handled with empathy, consistency, and good judgment.

Whenever extraordinary circumstances arise, Society Circle will strive to balance compassion for the affected Member with its responsibilities to Hosts, Community Partners, and the broader community.

Each request will be evaluated individually, with the goal of reaching a fair and reasonable outcome whenever possible.


Part VI — Community Partner Experiences

Community Partners are an essential part of the Society Circle Experience Economy.

Restaurants, cafés, fitness studios, museums, nonprofits, entertainment venues, event spaces, instructors, guides, and other independent businesses help create memorable Experiences for Members.

Although Experiences may be discovered, reserved, or purchased through the Society Circle platform, Community Partners remain independent businesses responsible for delivering many of the goods and services associated with their Experiences.

This Part explains how refund responsibilities are shared between Society Circle and Community Partners.


24. Third-Party Policies

Certain Experiences include products or services provided by independent third parties.

These providers may maintain their own:

  • cancellation policies;
  • refund policies;
  • rescheduling rules;
  • attendance requirements;
  • reservation deadlines;
  • or operational procedures.

When applicable, these third-party policies will be communicated before purchase whenever reasonably practical.

By purchasing an applicable Experience, Members agree to comply with any disclosed third-party requirements in addition to this Refund Policy.


Independent Businesses

Community Partners operate independently from Society Circle.

Accordingly, certain decisions—including venue operations, staffing, menu availability, class instruction, seating, accommodations, or event execution—remain under the control of the Community Partner.

Society Circle cannot require an independent business to ignore or modify its own contractual obligations or legal requirements.


Conflicting Policies

If a Community Partner maintains a more restrictive cancellation policy than this Refund Policy, Society Circle will clearly disclose that policy whenever reasonably practical before purchase.

If a conflict exists between this Refund Policy and an Experience-specific policy presented before purchase, the Experience-specific policy governs that particular Experience.


25. Partner Refund Responsibilities

Society Circle serves as the platform that facilitates reservations, payments, and community participation, but Community Partners may remain responsible for portions of the purchase price relating to the goods or services they provide.

Depending on the structure of a particular Experience, refund responsibility may rest with:

  • Society Circle;
  • the Community Partner;
  • both organizations together;
  • or another disclosed provider.

Society Circle will coordinate with Community Partners in good faith to resolve eligible refund requests fairly and consistently.


Partner-Canceled Experiences

If a Community Partner cancels an Experience before it begins, Members will generally be offered one or more of the following, depending on the circumstances:

  • a full refund;
  • Society Circle Credit;
  • transfer to a replacement Experience;
  • rescheduled attendance;
  • or another reasonable accommodation.

Whenever practical, Society Circle will communicate available options promptly after receiving notice of the cancellation.


Service Quality Concerns

If a Member believes that a Community Partner Experience materially failed to match its advertised description, they should notify Society Circle within a reasonable time after the Experience.

Society Circle may investigate concerns by reviewing:

  • Member feedback;
  • Host observations;
  • Community Partner information;
  • transaction records;
  • photographs or other supporting documentation where appropriate;
  • and any other relevant information.

Following review, Society Circle may determine that an accommodation is appropriate, including:

  • Society Circle Credit;
  • a partial refund;
  • a full refund;
  • or another reasonable resolution.

Nothing in this section guarantees a refund based solely on subjective preferences or individual expectations.


Continuous Improvement

Member feedback helps Society Circle maintain a high standard of hospitality.

Patterns of recurring concerns may influence future Community Partner relationships, quality reviews, or operational improvements.


26. Society Circle Facilitation Fees

Certain paid Experiences include fees retained by Society Circle to support the Experience Economy.

These facilitation fees help fund services such as:

  • payment processing;
  • reservation systems;
  • ticketing technology;
  • Member support;
  • fraud prevention;
  • check-in tools;
  • Host support;
  • platform development;
  • and other operational infrastructure.

These services are often performed immediately after a reservation is completed.


Refund Treatment of Facilitation Fees

Unless otherwise required by applicable law or expressly stated before purchase:

  • facilitation fees associated with an Experience canceled by Society Circle are generally refundable;
  • facilitation fees associated with a Community Partner cancellation are generally refundable;
  • facilitation fees for eligible Member cancellations may be refunded, credited, or retained depending upon the applicable cancellation policy and operational costs already incurred.

Any non-refundable facilitation fees will be disclosed before purchase whenever reasonably practical.


Experience Economy Stewardship

The Society Circle Experience Economy exists to create sustainable opportunities for Members, Hosts, Community Partners, and the community as a whole.

Refund decisions involving facilitation fees are made with the goal of balancing:

  • fairness to Members;
  • financial sustainability for Community Partners;
  • responsible stewardship of Society Circle resources;
  • and the continued ability to offer exceptional Experiences.

By preserving this balance, Society Circle can continue investing in technology, hospitality, leadership development, and meaningful community Experiences for years to come.


Part VII — Legal Terms

This Part establishes the legal framework governing the administration of this Refund Policy.

These provisions are intended to promote consistency, protect Members and Society Circle, and ensure that refund decisions are administered fairly across the community.


27. Refund Discretion

Society Circle is committed to administering this Refund Policy consistently, transparently, and in good faith.

However, because every situation is unique, Society Circle reserves the right to exercise reasonable discretion when evaluating refund requests not expressly addressed by this Policy.

When exercising such discretion, Society Circle may consider factors including:

  • the timing of the request;
  • the reason for cancellation;
  • operational commitments already made;
  • Community Partner obligations;
  • documented extraordinary circumstances;
  • prior accommodations;
  • applicable law;
  • and the overall fairness of the requested outcome.

Nothing in this section obligates Society Circle to provide refunds beyond those required by this Policy or applicable law.


No Waiver

Providing an accommodation, refund, credit, or exception in one situation does not require Society Circle to provide the same accommodation in future situations.

Each request is evaluated individually based upon its own facts and circumstances.


28. Abuse of the Refund Policy

The Society Circle community depends upon honesty, trust, and responsible participation.

Members may not misuse this Refund Policy to obtain refunds, credits, or financial benefits through dishonest or abusive conduct.

Examples of prohibited conduct include:

  • knowingly providing false information;
  • submitting fraudulent documentation;
  • disputing legitimate charges in bad faith;
  • repeatedly purchasing Experiences without intending to attend;
  • intentionally circumventing cancellation deadlines;
  • abusing promotional offers;
  • creating multiple accounts to obtain additional refunds or discounts;
  • or engaging in any conduct intended to manipulate Society Circle's payment or refund systems.

Consequences of Abuse

If Society Circle reasonably determines that a Member has abused this Refund Policy, Society Circle may take appropriate action, including:

  • denying future refund requests;
  • reversing improperly issued Credits;
  • canceling transactions;
  • restricting reservation privileges;
  • suspending or terminating Membership;
  • recovering improperly obtained funds where permitted by law;
  • or pursuing other remedies available under the Terms of Service or applicable law.

These measures help protect the integrity of the Society Circle community and ensure fairness for all Members.


29. Changes to This Policy

Society Circle may update this Refund Policy from time to time to reflect:

  • changes in the Services;
  • operational improvements;
  • legal or regulatory developments;
  • payment processing requirements;
  • Community Partner programs;
  • or other business needs.

When material changes are made, Society Circle will make reasonable efforts to notify Members through appropriate channels, including the Society Circle platform, email communications, or other reasonable methods.

The most current version of this Refund Policy supersedes all prior versions and becomes effective on the date indicated at the top of the Policy unless otherwise stated.

Continued use of the Society Circle Services following the effective date of an updated Refund Policy constitutes acceptance of the revised Policy to the extent permitted by applicable law.


30. Contact Information

Questions regarding this Refund Policy or requests relating to refunds, credits, billing concerns, or payment issues may be submitted through Society Circle's designated support channels.

Members should provide sufficient information to help Society Circle review the request efficiently, including, where applicable:

  • the Member's name;
  • the email address associated with the account;
  • the applicable Experience;
  • the transaction date;
  • the order confirmation number;
  • and a description of the request.

Society Circle will make reasonable efforts to respond to inquiries within a commercially reasonable timeframe.


Good-Faith Resolution

Society Circle values long-term relationships with its Members.

Whenever questions arise regarding refunds or billing, we encourage Members to contact Society Circle first so concerns can be reviewed and resolved in a cooperative and respectful manner.

Our goal is not simply to process transactions, but to preserve trust within the community we are building together.
